How To Turn WhatsApp Enquiries Into Customers

In Johor Bahru, the enquiry comes on WhatsApp. Not by email, rarely by phone, almost never through a long contact form. Whether you run a café in Taman Molek, a clinic in Permas Jaya or a renovation business serving Iskandar Puteri, your sales conversations live in a green chat window.

That makes WhatsApp the most important sales tool most JB businesses have, and the least deliberately managed. This guide covers how to get more of the right enquiries into WhatsApp, how to answer them so they become customers, and how to know which marketing is sending them.

Why WhatsApp Is The JB Sales Channel

Three reasons, and you probably recognise all of them.

It is where your customers already are. Malay, Chinese and English speaking customers, Singaporeans crossing the causeway, suppliers and staff: everyone in Johor is on WhatsApp all day.

It is low commitment. Sending “Hi, still open?” is easier than filling in a form or making a call, so more people do it. That is good: more conversations at the top means more customers at the bottom.

It is personal. A chat lets you answer the real question, send a photo of the dish or the tile sample, and ask for the booking in the same thread. A form cannot do that.

The downside is that WhatsApp is easy to do badly. Enquiries get missed, answered late, or answered with “ok” and no follow-up. Fixing that is the rest of this guide.

Step 1: Make It Easy To Start A Chat

Every place a customer meets your business should have a one-tap way into WhatsApp.

On your website. A WhatsApp button in the header or floating at the bottom of the screen, on every page. Use a click-to-chat link (a wa.me link with your number) rather than just printing the number.

On Google Maps. Add your WhatsApp number to your Google Business Profile and turn on messaging.

On Instagram and Facebook. The WhatsApp button on your profile, and the WhatsApp link in your bio.

In adverts. Click-to-WhatsApp ads on Meta open a chat directly from the advert. For food, retail and beauty in JB, this is often the most effective advert format there is. Our guide on Google Ads versus Meta Ads explains when to use it.

Offline. A QR code on the menu, the shop window, the invoice and the van. Scanning it should open the chat, not a web page.

Use WhatsApp Business rather than a personal account. It is free, it gives you a business profile with hours and address, and it unlocks the tools in the next steps.

Step 2: Pre-Fill The First Message

A blank chat window is a small barrier. People do not know what to write, so they write “Hi” and wait, or they do not write at all.

A click-to-chat link can carry a pre-filled message. Instead of “Hi”, the customer’s first message becomes:

  • “Hi, I would like to book a table for ___ people on ___.”
  • “Hi, I saw your ad for the kitchen renovation package and would like a quote.”
  • “Hi, I would like to book a scaling appointment.”

Use a different pre-filled message for each button: one for the menu page, one for the booking page, one for each advert. Two things happen. The customer finds it easier to start, and you know instantly what they want and where they came from.

Step 3: Reply Fast, And Reply Properly

Speed wins. A customer who messages three businesses buys from the one that answers first with something useful. “Hi, yes we are open until 10pm, here is the menu, would you like to reserve a table?” beats “ok” every time.

WhatsApp Business gives you tools for this:

  • A greeting message that sends automatically when someone new messages you, so they know you have seen them even if you are busy.
  • An away message outside your hours, with when you will reply.
  • Quick replies for the questions you answer twenty times a day: hours, location, parking, prices, halal status, delivery. Type a shortcut, send a full answer.
  • A catalogue of your products or services with photos and prices, so you can send an item instead of typing it out.
  • Labels to mark chats as new enquiry, quoted, booked, paid or follow up.

Decide who answers WhatsApp and when. One person, with cover for their day off, and a target reply time you can keep. We tell every client the same thing we tell our own customers: reply within 12 hours at the very worst, and within minutes during opening hours.

Step 4: Ask For The Next Step

Many JB businesses answer the question and stop. The customer asks the price, you say the price, the chat ends. Nobody asked for the sale.

Every reply should end with a question that moves things forward:

  • “Would you like me to reserve that for you?”
  • “Shall I send you the full quote by tonight?”
  • “Which day suits you for a visit, this week or next?”
  • “Can I take your name and the number of people?”

It feels obvious written down. It is remarkable how often it does not happen.

Step 5: Follow Up

Not every enquiry buys today. People get busy, compare, wait for payday. Most businesses lose these customers simply by never messaging again.

Keep a simple list of open enquiries, using WhatsApp labels or a spreadsheet, and follow up once or twice. A day or two after a quote: “Hi, just checking whether you had any questions about the quote.” A week later: “We have a slot open on Saturday if that helps.” Polite, short, no pressure.

For higher-value services, that follow-up is where a large share of the revenue sits. For cafés and shops, a message about a new dish or a weekend promotion to past customers who have agreed to hear from you does the same job. Keep it occasional and keep it useful.

Step 6: Track Where Enquiries Come From

If you spend money on ads, SEO or a website, you need to know which of them is sending the WhatsApp messages. Otherwise you cannot tell what to do more of.

  • Fire an event in Google Analytics 4 every time someone taps a WhatsApp button on your website, and mark it as a conversion.
  • Send that event to Google Ads and Meta as well, so the platforms learn which people actually start chats.
  • Use the pre-filled messages from step 2 as a signal: if the first message mentions the kitchen package, it came from that advert.
  • Once a week, count enquiries by source and count how many became customers. A spreadsheet is enough.

We set this up as part of every website and ads project, because an enquiry you cannot trace is an enquiry you cannot repeat.

Step 7: Give The Chat Somewhere To Point

WhatsApp works best alongside a website, not instead of one. In a chat, you can send a link to the menu page, the treatment page, the price list or the booking form, instead of typing the same information fifty times a day. The website answers the routine questions; WhatsApp handles the conversation. Our guide on whether your café needs a website shows how the two fit together for F&B, and the same logic applies to clinics, contractors and shops.

What To Do Next

If you want WhatsApp connected properly, from the website buttons and pre-filled messages to click-to-chat ads and tracking, the website development page and the advertising page explain what we build and what it costs. Or send us a message describing your business and how enquiries reach you today. We will reply within 12 hours with what we would change first and a fixed price quote.
